The Company and our data controller are committed to ensuring that your privacy is protected. This privacy policy explains how we use the information we collect about you, how you can instruct us if you prefer to limit the use of that information and procedures that we have in place to safeguard your privacy.
1 The information we collect and how we use it.
1.1 When you register for our service we need to know your name, postal address, e-mail address and telephone number. For Customers we also need to know the address and telephone number of your shops, opening hours, special requirements for Locum provision and details of parking arrangements. For Locums we also require your GPhC registration number, details of your additional qualifications, smart card, passport photograph page, insurance cover and referees including copies of documents where relevant and DBS status, to enable us to provide you with suitable opportunities for Locum work. We routinely contact referees and obtain written references in relation to our Locums.
1.2 We gather this information to allow us to process your registration, to provide Customers with suitable Locums and to provide Locums with suitable opportunities for Locum work. The relevant information is then used by us to provide the service and provide you with statements of your account and to communicate with you on any matter relating to the conduct of your account and the provision of our service in general. We may pass any or all of the personal information we hold for a Locum, including identification documentation, DBS status information and references, to our Customers during the course of providing the service.
1.3 We may also use aggregate information and statistics for the purposes of monitoring website usage in order to help us develop the website and our services and may provide such aggregate information to third parties. These statistics will not include information that can be used to identify any individuals.
1.4 From time to time we may provide your information to our customer service agencies for research and analysis purposes so that we can monitor and improve the services we provide. We or our agents and sub-contractors may contact you by post, e-mail or telephone to ask you for your feedback and comments on our services.
1.5 We may also wish to provide you with information about special features of our website or any other service or products we think may be of interest to you. If you would rather not receive this information please send a an email message to this effect to enquiries@pharmaseekers.co.uk

1.7 The Company may process personal data relating to Locums and Customers:
1.7.1 in connection with the Company’s business;
1.7.2 in connection with any future proposal to sell or transfer the Company or its respective business (see Clause 4).
1.8 Locums consent to the Company processing data relating to them for legal, personnel, administrative and management purposes and in particular to the processing of any sensitive personal data (as defined in the Data Protection Act 1988 (the “Act”)) relating to the Locum, including, as appropriate, information about the Locum’s:
1.8.1 physical or mental health or condition in order to monitor sickness and take decisions about the Locum’s fitness for work;
1.8.2 racial or ethnic origin or religion or similar information in order to monitor compliance with equal opportunities legislation;
1.8.3 information relating to any criminal proceedings in which the Locum has been involved for insurance purposes and in order to comply with legal requirements and obligations to third parties; and
1.8.4 any other sensitive personal data as defined in the Act.
1.9 Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you with goods or services). In this case, we may have to cancel a product or service you have with us but we will notify you if this is the case at the time.
2 Our use of cookies and other information gathering technologies.
2.1 When you visit the website we may store some information (commonly known as a “cookie”) on your computer. Cookies are pieces of information that a website transfers to your hard drive to store and sometimes track information about you. Cookies are specific to the server that created them and cannot be accessed by other servers, which means that they cannot be used to track your movements around the web. Passwords and credit card numbers are not stored in cookies. A cookie helps you get the best out of the Site and helps us to provide you with a more customised service. We use cookies for the following purposes:
2.1.1 so that you will not have to re-enter your details each time you visit the website;
2.1.2 to track how our site is used and to improve and update our content.
2.2 You can block or erase cookies from your computer if you want to (your browser’s help screen or manual should tell you how to do this) but certain parts of the website are reliant on the use of cookies to operate correctly and may not work correctly if you set your browser not to accept cookies. 3 How we protect your information
3.1 The internet is not a secure medium. However we have put in place various security procedures as set out in this policy.
3.2 You have provided your own user name and password at registration and you are responsible for safeguarding these. We have in place security measures to protect the personal data processed. These include a UK Fast managed corporate firewall, with content filtering software, anti-virus and anti-spam software solutions at our remotely hosted server. We also have limited individual access controlled by passwords. Routine backups ensure that in the event of a system failure information can be readily reinstated)
3.3 We also keep your information confidential. The internal procedures of Pharmaseekers cover the storage, access and disclosure of your information. Please refer to clause 1 above.
4 Sale of business.
4.1 If this business is sold or integrated with another business your details may be disclosed to our advisers and any prospective purchasers and their advisers and will be passed on to the new owners of the business
5 Updating your details.
5.1 If any of the information that you have provided to us changes you can update the information on line, or if you wish to cancel your registration, please let us know by sending an e-mail to enquiries@pharmaseekers.co.uk or by sending a letter to Website Admin, Pharmaseekers, Suite 309, India Mill, Bolton Road, Darwen, Lancashire, BB3 1AE
5.2 You can find out what personal information we hold about you by writing to Website Admin, Pharmaseekers, Suite 309, India Mill, Bolton Road, Darwen, Lancashire, BB3 1AE We will acknowledge receipt within 10 days and hope to deal with such a request within 40 days. We may charge you a fee for such a request.
6 Your consent.
6.1 By submitting your information you expressly consent to the Company processing and/or transferring your personal data and sensitive personal data in the ways set out above.. If we change our privacy policy we will post the changes on this page, and may place notices on other pages of the website, so that you may be aware of the information we collect and how we use it at all times. We will also e-mail you should we make any changes so that you may consent to our use of your information in that way. Continued use of the service will signify that you agree to any such changes.
6.2 Owing to the global nature of the Internet infrastructure, the information you provide may be transferred in transit to countries outside the European Economic Area that do not have similar protections in place regarding your data and its use as set out in this policy. However, we have taken the steps outlined above to try to improve the security of your information. By submitting your information you consent to these transfers.
7 Data retention.
7.1 We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
7.2 To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

8.2 No fee usually required
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
8.3 What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
8.4 Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
